Summary: Under general supervision, serves as key support person for Clinical Supervisor and other clinical staff. This position acts as liaison between clinical staff, residents and county officials.
Responsibilities and Duties:
• Greets and screens incoming visitors; answers clinical office phone.
• Responds to all email, voicemail, and fax inquiries from staff, county officials and others involved in client care.
• Creates, copies and delivers medical records/forms/reports as requested; ensures proper signatures are obtained and paperwork is complete.
• Coordinates and monitors clinical staff schedules; schedules after-care client appointments and conservatorship psychologist visits.
• Creates and maintains documents in the Client Clinical Chart (“Brown Charts”) in accordance with HIPPA compliancy.
• Ensures security and organization of chart rooms and clinical office files in accordance with HIPPA Medi-Cal certification.
• Checks clients’ insurance statuses on a weekly basis and updates medical insurance summary form; scans and maintains copy of client’s medical insurance card(s).
• Maintains clients’ statuses in Psynergy databases; maintains assigned paperwork for client files.
• Maintains clinical office, to include keeping the document display cases full, keeping the office clean and organized and ensuring the office equipment is operational.
• Creates miscellaneous templates, forms, certificates, memos, letters, reports and other correspondence for clinical staff as needed.
• Train and supervise residents who work as Clinical Helpers.
• Track correspondence, including FedEx and update correspondence log.
• Assist with yearly Medi-cal certifications.
• May assist in billing for Medi-Cal, Medicare and Private Pay.
• May act as back up for Resident Counselor - Health Services in making medical appointments for residents, creating medical appointment packets, and updating medical appointment calendar.
• Performs other duties as assigned.
Equipment Used: The Clinic Administrative Assistant operates standard office equipment efficiently to include:
• Multi-line telephone system
• Facsimile machine
• Photocopy machine
• Calculator
• Computer/printer/scanner
Knowledge, Skills and Abilities:
• Excellent oral and written communication skills.
• Superior editing skills to include solid grasp of grammar and spelling.
• Above average knowledge of Microsoft Word, Excel and Outlook.
• Organized and efficient.
• Able to maintain confidentiality and use discretion.
• Ability to handle multiple time sensitive projects at once and multi-task efficiently and effectively.
• Ability to maintain a high level of accuracy and attention to details in preparing and entering information.
• Plan work and carry through to completion with minimum supervision.
• Establish and maintain effective working relationships with staff as well as the public.
Education/Experience Requirements:
• An Associate’s degree is required; Bachelor’s degree preferred.
• 2 years office experience is required.
Special Requirements:
• Must be able to receive criminal record clearance as required by Title XXII, licensing regulations. This includes FBI and DOJ clearance.
• A health screening, by or under the direction of a physician must have been performed not more than one year prior to employment or within seven (7) days after employment. Health screening must include TB clearance not more than one year prior to employment or within seven (7) days after employment.
• Must have a valid driver’s license and an acceptable driving record.
• Must have a “valid” standard first aid card and CPR card from an accredited institution.
Work Environment:
• While performing the duties of this job, the employee is regularly required to sit, stand; talk, hear and use hands and fingers to operate a computer and telephone.
• Light to moderate lifting is required.
• Must be able to sit at a computer terminal for an extended period of time.
